How we look after your information when you use this website or contact our Barry clinic.

Last updated: August 2026. This policy explains how Vale Hearing Healthcare Ltd (“we”, “us”) collects and uses your personal information, and your rights under UK data protection law (UK GDPR and the Data Protection Act 2018).

Who we are

Vale Hearing Healthcare Ltd is the data controller for the information you provide. Our clinic is in Barry, Vale of Glamorgan. You can contact us about your data by phone or email using the details on our contact page.

What information we collect

  • Enquiry and booking details you give us β€” your name, phone number, email address and any information in your message when you use our contact form, request a callback, or book an appointment.
  • Appointment and clinical information needed to provide ear wax removal safely and keep proper records.
  • Website usage data β€” if you accept analytics cookies, anonymised information about how you use the site (see “Cookies” below).

How we use it, and our legal basis

We use your information to respond to enquiries, arrange and provide your appointment, keep the clinical and business records we are required to keep, and improve our service. Our lawful bases are your consent (for example when you submit the contact or callback form), contract (to provide the service you have booked), legal obligation (health record-keeping), and our legitimate interests in running and improving the clinic.

Who we share it with

We do not sell your personal data. We share it only where necessary β€” for example with our booking-system provider, and where we are required to by law or professional regulation. Any providers act on our instructions and are bound to keep your data secure.

How long we keep it

We keep enquiry details only as long as needed to deal with your enquiry, and clinical records for the period required by healthcare record-keeping guidance. After that they are securely deleted.

Your rights

You have the right to access the personal data we hold about you, ask us to correct or delete it, object to or restrict how we use it, and withdraw consent at any time. To exercise any of these, contact us using the details on our contact page. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

Cookies

Cookies are small files stored on your device. We use two kinds:

  • Essential cookies β€” needed for the site and its booking and admin features to work (for example remembering your cookie choice). These are always on.
  • Analytics cookies β€” Google Analytics, used to understand how visitors use the site so we can improve it. IP addresses are anonymised. These load only after you choose “Accept analytics” on our cookie banner, and never if you decline.

You can change your mind at any time by clearing this site’s cookies in your browser, which will bring the banner back so you can choose again. You can also block or delete cookies through your browser settings.

Our own visitor counter. We also keep a simple count of page views on our own server so we can see which pages are useful and when people visit. It sets no cookies and stores no IP addresses — only an anonymous code that changes every day and cannot be traced back to you.
